Ground Operations Administrator

Reporting to: Operations and Planning Manager

Maternity Cover Contract

The Ground Operations Administrator shall, as part of the Ground Operations team, assist in the day-to-day running of the Ground Operations Department by facilitating and administering their activities, according to the standards and requirements of the company

The Ground Operations Administrator shall act as the link between all departments in order to fulfil operational, corporate and customer expectations linked to the administration of the department’s activities

Responsibilities

  • Provide support of daily Ground Operations requirements;
  • Collating of information regarding reporting and delays attributed to Ground Operations;
  • Preparation of reports, statistics and notices as directed by appropriate qualified departmental managers;
  • Liaison with service providers where required;
  • Collation and presentation of Ground Handling Agent information relating to the Ground Operations Briefing document and the Flt Ops Aircrew Guide;
  • Updating and administration of operational manuals as directed by appropriate qualified departmental managers;
  • Updating and administration of the Centrik and ASL systems with relevant Ground Operations information and documentation;
  • Maintain Ground Operations training and qualification records and monitor qualification expiries;
  • Scheduling and allocation of Ground Operations training courses, including Station Training (Operations and Ground Services), Weight and Balance Training and Aircrew OCC Training (initial and recurrent), to the requirements of the OM-F and GSM;
  • Maintain the Ground Operations departmental diary, including staff rosters where applicable;
  • Attending departmental meetings and preparation of post-meeting materials, including minutes and reports for distribution;
  • Initial contact and investigation of suppliers/service providers for charter and scheduled operations;
  • Provide appropriate communications to other departments;
  • Maintain an in-depth knowledge of company operations, documentation, regulating authority requirements, relevant systems and procedures;
  • Ensure that service providers are supplied with relevant company documentation to ensure a safe, on-time departure;
  • Monitor stock levels and availability of Ground Operations forms at all required locations;
  • Instigation of application processes for airside ID cards;
  • Invoice checking and reconciliation;
  • Filing and collation of departmental documentation;
  • Liaise with all departments to fulfil corporate and customer expectations linked to Ground Operations;
  • Other duties as assigned by the Director Ground Operations;
  • Shall be responsible for the proper and timely performance of duties assigned.

  • Experience and knowledge of the aviation industry
  • Able to communicate clearly and concisely

  • Experience of office administration environment
  • Must be computer literate and experienced in the use of Word and Excel
  • Team Player
  • Must be able to work with minimum supervision
  • Must hold a full UK Driving Licence
